High profile Architect needs executive assistant (Santa Monica)

High profile, internationally known Architecture firm –– seeks executive assistant for Design Director / President. The ideal candidate will be the Executive Assistant to the company’s Design Director / President and will also work closely with the firm’s Managing Principal and the firm’s Director of Business Development / Public Relations.

Duties include:

• Manage extremely dynamic daily schedule and calendar coordination of Design Director who travels internationally on a regular basis and who splits his time between Los Angeles and New York.

• Process and field incoming requests (mail, phone, fax, email). Particular discretion and attention is required in this area so as to ensure appropriate access to Design Director and use of his time as well as timely distribution of important information to appropriate individuals within the firm.

Coordinate and confirm all logistics for Design Director’s appearances and lectures and ensure that he is appropriately informed and prepared for meetings, appointments, conference calls, appearances, lectures, events, etc.

Coordinate and manage complicated and dynamic domestic & international travel bookings and itineraries for Design Director.

Maintain records of financial transactions and correspondence in association with Design Director’s travel, lectures and appearances; work closely with Accounting Department in coordination of billings and payments.

Administer occasional personal errands for Design Director.

Work in close collaboration with Public Relations / Business Development department.

Assist with selected research and writing projects including letters of recommendation written on behalf of Design Director.

Confidence, enthusiasm and a high metabolism for work in a fast paced, dynamic and highly collaborative environment.

Must be fastidious and detail oriented.

Must be flexible, able to tolerate and be happy with multi-tasking in order to efficiently manage shifting priorities and competing deadlines.

Must be able to accommodate “on call” nature of the position at all times.

Strong sense of accountability for all areas of work; demonstrated collaborative spirit.

Must demonstrate diplomacy, sensitivity and tact in all communications and activities.

Sense of humor and charismatic ease with people.

Cultural awareness and sophistication.

Must be native English speaker.

Advanced proficiency in all Microsoft Office applications and Outlook, as well as internet navigation and use.

Must be proficient with PC platform and Blackberry device.

Multiple language proficiency is desirable but not required (French, German, Spanish).
